Summary
Koltez is a learning app. We collect the minimum needed to run your account, sync your progress and keep the app working. We do not sell your personal data, we do not show advertising, and we do not share your data with advertising networks or data brokers. This policy explains exactly what we collect, why, who processes it for us, how long we keep it and what you can do about it.
Who we are
Koltez is operated by the app's publisher, acting as the data controller for the information described here. For any privacy question, or to exercise any of the rights below, contact support@koltez.com. We aim to respond within 30 days.
Information you give us
Account details. If you create an account we collect your email address and a username. If you sign in with Apple or Google, we receive the email address associated with that sign-in. Apple may issue a private relay address instead of your real one, and that is fine: we can operate your account with it. A password, if you set one, is never stored in readable form; only a cryptographic hash is kept, so nobody at Koltez can read it. Profile and preferences. Anything you choose to add, such as a display name, theme, text size, and your reminder time if you enable reminders. Reports. If you report a card or a question, we record which item you reported and the reason, so we can review it.
Information created as you use Koltez
To make the feed personal and to show you your own progress, we record your learning activity: which cards you have opened and read, when you read them, which topics you like or save, your Daily Challenge and Recall results, points, streaks and study plans. This is what powers your For You feed, your Insights, and the Recall feature, which deliberately re-tests you on cards you read at least fifty cards and two hours ago. Device and diagnostic data. We may collect basic technical information such as device type, operating system version, app version, language, approximate region inferred from your IP address, and crash or error reports. We do not collect precise location, your contacts, your photos, your microphone or your camera.
Why we use it, and our legal bases
To provide the service, including authenticating you, saving your progress and generating your feed. Legal basis: performance of our contract with you. To keep the app safe and working, including preventing abuse, debugging crashes, and reviewing reported content. Legal basis: our legitimate interests in a safe, functioning product, and compliance with legal obligations. To understand how the app is used in aggregate, so we can improve it. Legal basis: legitimate interests, or your consent where the law requires it. To send optional reminders, only if you switch them on. Legal basis: your consent, which you can withdraw at any time. We do not use your data for advertising, and we do not carry out automated decision-making that produces legal or similarly significant effects on you.
Who processes data for us
We use a small number of service providers, who act on our instructions and are bound by contract. Google Firebase provides account authentication. Your learning progress is stored on your device; if cloud sync is enabled in a future version, this policy will be updated before it is turned on. PostHog provides product analytics, so we can see how features are used. We configure it to avoid collecting unnecessary identifiers, and it is not an advertising network. Apple provides Sign in with Apple, app distribution and, if you enable them, push notifications. An AI provider generates some explanatory content, such as rabbit-hole explorations and study plans. We send the topic or text needed to produce the content. We do not send your name, email or account identifier with those requests. We do not sell your personal data, and we do not share it for cross-context behavioural advertising, as those terms are used in United States state privacy laws.
International transfers
Our providers may process data on servers outside your country, including in the United States. Where data leaves the United Kingdom or European Economic Area, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.
How long we keep it
We keep your account and learning history for as long as your account exists, because it is what the app is for. If you delete your account, we delete the account record and the associated learning data from our systems, and the app clears the data held on your device. Aggregated or anonymised statistics, which can no longer identify you, may be retained. We may keep limited records for longer where the law requires it, for example to resolve a dispute or prevent abuse.
Security
Data is encrypted in transit. Passwords are stored only as hashes. Access to production systems is limited to those who need it. No system is perfectly secure, and we cannot guarantee absolute security, but we take these obligations seriously and will notify you and the relevant regulator of a qualifying breach as the law requires.
Your rights
Depending on where you live, you may have the right to access the data we hold about you, to correct it, to delete it, to object to or restrict certain processing, to withdraw consent at any time, to receive a copy in a portable format, and to complain to a supervisory authority. In the United Kingdom this is the Information Commissioner's Office. If you are in California, you also have the right not to receive discriminatory treatment for exercising your rights, and we confirm again that we do not sell or share your personal information. You can exercise most of these directly in the app: edit your profile, change your reminder settings, or delete your account, all from Settings. Deleting your account is permanent and cannot be undone. For anything else, email support@koltez.com.
Notifications
Reminders are entirely optional. We only send them if you turn them on and grant permission on your device. You can turn them off at any time in Settings, or in your device's system settings.
Children
Koltez is a general-audience app intended for users aged 13 and over, and is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with information, contact support@koltez.com and we will delete it promptly.
Changes to this policy
We will update this policy as the app develops. If a change is significant, we will tell you in the app before it takes effect. The date below shows when it was last revised.
